Frequently Asked Questions

How much does payroll software cost per month?
It depends on the base fee, employee and contractor headcount, pay-run frequency, tax filing and add-ons you enter — the calculator does not assert vendor prices. The model combines those lines, then applies the annual discount and onboarding.
Is per-employee or flat-rate payroll pricing cheaper?
There is no universal winner. Flat plans win for small teams; per-employee plans can win as headcount grows. Enter each plan's own included employees and per-employee rate to see the crossover for your team.
How do contractor payments affect payroll software pricing?
Many providers charge separately per contractor or per contractor payment. Enter the contractor count and the per-contractor monthly rate your quote shows; set it to zero when contractors are included.
Are payroll tax filing fees included?
Sometimes. Enter the monthly tax-filing add-on from your quote, or zero when filing is bundled. Keeping it as its own line makes a low base fee easier to compare honestly.
How many pay runs should I model?
Use the number you actually run: monthly is 1, semimonthly is 2, biweekly is about 2.17 and weekly is about 4.33. The calculator multiplies the per-run fee by the count you enter.
Does this calculator use real vendor prices?
No. Every rate is entered by you; presets are example rates, not vendor quotes. That keeps the tool accurate without stale or scraped pricing.

Methodology

Monthly total = base fee + extra employees + contractors + per-run fees + tax filing + onboarding; the annual total applies your prepay discount. All prices are user inputs.
