Email Sending Cost Calculator

Exact monthly costs for the plans you enter — ranked cheapest-first for your send volume.

At a glance

Email Sending Cost Calculator is a free, client-side tool that computes exact monthly costs for up to five email-sending plans you enter — price, included volume and overage rate — then ranks them cheapest-first for your send volume and finds the breakeven point. No vendor prices are asserted and nothing leaves your browser.

Compare five email plans at your monthly send volume

Enter your volume once, then each provider's own plan numbers. It ranks every plan by exact monthly cost at your volume, shows the overage math line by line, and computes the breakeven point between the two cheapest options. Prices in USD per month, 100% in your browser.

Emails you send (or plan to send) per month. Overage is billed per 1,000 emails beyond a plan's included quota.

How much does 25,000 sends a month cost on two example plans?

Worked example using example rates — not a vendor quote: Plan A costs $20/month including 10,000 sends with $0.90 per 1,000 beyond that; Plan B costs $35/month including 50,000 sends. At 25,000 sends per month the costs are:

The exact math, line by line

Worked example: exact monthly cost calculation for two hypothetical email plans at 25,000 sends
Plan Line Calculation Amount
Plan A ($20/mo, 10K included, $0.90/1K) Base price — $20.00
Overage (25,000 − 10,000 = 15,000 sends) 15,000 ÷ 1,000 × $0.90 $13.50
Monthly total $20.00 + $13.50 $33.50
Plan B ($35/mo, 50K included, $0.90/1K) Base price — $35.00
Overage (25,000 within 50,000 included) max(0, 25,000 − 50,000) = 0 $0.00
Monthly total $35.00 + $0.00 $35.00
Verdict Cheaper by $1.50/mo ($18.00/yr) breakeven: 26,667 sends (both $35.00) Plan A

These figures are hypothetical inputs, not current vendor prices. The live calculator above recomputes this exact example — "Load hypothetical example" fills it in — and the unit test suite verifies these numbers.

When do the plans flip? Breakeven volume explained

Breakeven volume is the monthly send count where two plans cost exactly the same. Below it one plan is cheaper; above it the other wins, so it is the volume where switching stops paying. It is computed from the numbers you enter — plan price, included quota and overage rate — with no estimates involved.

The calculator uses one fixed identity for every plan: monthly cost = base + max(0, sends − included) ÷ 1,000 × overage per 1,000. Breakeven is the smallest volume where two plans' monthly costs are equal; when their per-1K overage rates are identical but quotas differ, the crossing sits inside the higher-quota plan's interval. In the example above, Plan A is cheaper below 26,667 sends; at 26,667 both cost $35.00; above it Plan B stays cheaper at every volume.

How to Use Email Sending Cost Calculator

1

Enter your monthly send volume

Type the number of emails you send per month, or plan to send.

2

Fill in each plan you're considering

For each slot, enter the plan name, monthly price, included sends and overage price per 1,000 — copy them from the vendor's pricing page, your quote or your latest invoice.

3

Read the ranked result and breakeven

The table sorts plans by monthly cost at your volume, flags overage, and shows the breakeven point between the two cheapest options. Download the CSV if you want it in a spreadsheet.

Costing a 25,000-send month with two entered plans

The engine matches your volume against each entered plan's included quota, bills any overage at the entered per-1K rate, ranks the totals, and computes the volume where the two cheapest plans cost the same. All values in this example are hypothetical inputs, not vendor prices.

Example plan inputs (hypothetical) Source
Monthly sends: 25,000
Plan A: $20/mo, includes 10,000 sends, $0.90 per 1K overage
Plan B: $35/mo, includes 50,000 sends, $0.90 per 1K overage
Computed result (exact) Processed
Plan A: $20.00 + (25,000 − 10,000) ÷ 1,000 × $0.90 = $20.00 + $13.50 = $33.50/mo
Plan B: $35.00 + $0.00 overage = $35.00/mo
Cheapest: Plan A by $1.50/mo
Breakeven: 26,667 sends/mo

Supported Formats SEND-VOLUME, USD-MONTHLY-PRICES, PLAN-QUOTA-DATA → USD-TOTALS, COMPARISON-TABLE, CSV
Execution Mode 100% Client-Side In-Browser (client)
Browser Requirements Modern browser with JavaScript and standard DOM APIs enabled.
Performance Constraints Plan values are user-entered: this page asserts no vendor prices. Inputs are bounded to sane ranges (price $0–$10,000/mo; included sends 0–100,000,000; overage $0–$100 per 1K; volume 0–100,000,000/mo) and invalid entries are rejected with a hint. Deliverability, taxes, currency conversion and contact-list billing mechanics are out of scope.

Frequently Asked Questions

Does this tool use current email provider prices?
No. This calculator asserts no vendor prices: you enter each provider's plan price, included sends and overage rate from your own quote, dashboard or the vendor's pricing page, and it computes exact costs for your volume.
How is the monthly cost calculated?
Monthly cost = base plan price + max(0, monthly sends − included sends) ÷ 1,000 × overage price per 1,000. Annual cost is the monthly figure × 12. The worked example on this page shows the arithmetic line by line.
What is breakeven volume?
Breakeven volume is the monthly send count where two entered plans cost the same. Below it one plan is cheaper, above it the other wins; the tool computes it in closed form from the entered prices, quotas and overage rates.
Can I compare plans that charge per contact instead of per email?
Yes. Enter the tier a contact-based tool (like MailerLite or Loops) would put you on at your list size as one plan slot, using its monthly price, included sends and overage. The calculator then compares it on equal footing with per-email API plans.
Is my data sent anywhere?
No. All inputs stay in your browser; nothing is uploaded, stored on a server or shared, and no account is required.

Methodology

Costs are calculated from the send volume, plan fees and overage rates you enter.
